Overview
of the Company
- An Energy Company builds small power plants in the US and abroad. They
then operate those plants for the local utilities. They emphasis
cogeneration (use of waste heat from the plant for productive purposes)
Nature
of the Problem
- Storage space is at a premium. Their entire basement is full of
archive documents. Their paper document tracking system was antiquated
and not supported. They are spending too much time retrieving documents
for the engineering staff. They were spending too much on copies and
distribution.

Solution
Implemented - IMR
Alchemy document management system from Image Management Research was
implemented in Engineering, and subsequently in the Purchasing department.
E-size drawings are scanned on a Xerox scanner and imported into Alchemy.
All engineers have access to all drawings. Purchase orders are
automatically filed from their ERP system into the repository.

Insurance Companies

| Overview
of the Company
- Large state (or provincial) organization that provides and manages state
mandated workers compensation insurance to all businesses in the state.
Hundreds of thousands of companies. Each pays premium on policies for all
employees, and each employee may file a claim.
Nature of the
Problem -
Management of policies and claims involves a great deal of paper. The file
must be reviewed by adjusters and policy servicing personnel, as well as
others such as legal department. The paper must flow with the work. Loss
of documents can be very costly.

Solution
Implemented - In
3 installations (Montana, South Carolina, British Columbia), the
organizations have installed "image enabled" business
applications with Workflow. Scanning/Indexing is done centrally, and
electronic claim or policy files hold all documents. The imaging systems
are fully integrated with business applications (e.g. PeopleSoft)
Benefits to
Insurance Organization - Documents
are not lost. Delays in processing are monitored and reduced via workflow.
Customer service is improved. Time spent retrieving, distributing paper is
reduced.

Distribution Company

| Overview
of the Company
- A large auto glass distribution wholesaler that has warehouses
throughout the US. Independent vendors pickup auto glass
products and sell them independently. Thousands of orders per month
are filed.
Nature of the
Problem - Vendors would pickup order and sign paper receipt for
pickup. Receipts would be filed in storage. Occasionally
vendors would call distributor asking to verify data on receipt.
This was a very timely process.

Solution
Implemented - Scan and OCR receipts using KOFAX Ascent Capture and
automatically file the receipts into customer folders in IMR
Alchemy. For large customers, CDs were burned monthly with their
receipts and delivered to the customer. The receipts as well as the
Search software is available on the CD
Benefits to
Company - Customer service was greatly enhanced and since the customer
could be shown they had signed for the products there was no longer a
burden for the distributor of having to prove they did not deliver the
product to the independent vendor. |
Non-Profit Organization

of the Organization -
Non-Profit that needed to collect information on survey forms for
evaluation of instructional course work.
Nature of the
Problem - Large amounts of data being collected and mailed in on
survey forms. Data entry was too expensive and time consuming.

Solution
Implemented - Cardiff Teleform and a Ricoh IS 450 Scanner.
Cardiff Teleform using OMR forms were created and used to collect survey
information
Benefits to
Organization - Lower data entry costs, much faster turn around of
collected data and more accurate results due to less data entry. |
